This Privacy Policy explains how Global Product Sources, LLC ("GPS," "we," or "us") handles information through its internal business application at gps.hodgesolutions.llc (the "Application"). Hodge Solutions and Holdings, LLC develops and technically administers the Application as a service provider to GPS.
Scope
The Application is intended only for GPS personnel and other users specifically authorized by GPS. Separate future applications for customers or vendors will be governed by their own notices.
Information collected
- Account and access information, such as a user's name, business email, role, authentication records, and permissions.
- Technical and security information, such as IP address, browser and device information, timestamps, audit events, and error logs.
- Information users enter, upload, approve, or generate through the Application.
- QuickBooks Online data authorized by GPS, including customers, vendors, invoices, bills, purchase orders, payments, inventory, accounts, reports, and related transaction details.
- QuickBooks company identifiers and OAuth authorization tokens needed to maintain the connection. The Application does not receive a user's QuickBooks password.
How information is used
- To authenticate users and enforce GPS access permissions.
- To support GPS accounting, purchasing, inventory, payment, reporting, reconciliation, and related internal workflows.
- To read, create, update, synchronize, validate, and report on authorized QuickBooks records.
- To maintain, secure, troubleshoot, audit, and improve the Application.
- To comply with applicable law and protect GPS, users, Intuit, and others from fraud or misuse.
AI-assisted processing
The Application uses external artificial intelligence service providers, including OpenAI and Anthropic, to help authorized GPS personnel retrieve, summarize, analyze, and act on business information. Depending on the authorized task, limited QuickBooks-derived data and user instructions may be transmitted to one or both providers for processing. AI-generated results may be incomplete or inaccurate and are intended to assist, not replace, authorized human review. GPS personnel remain responsible for reviewing material accounting and business actions.
Storage and disclosure
The Application may store copies of QuickBooks and operational data when needed for its internal functions. Information may be processed using service providers that host, secure, monitor, support, or provide AI processing for the Application, including Amazon Web Services, Hodge Solutions and Holdings, LLC, OpenAI, and Anthropic. Providers receive only information reasonably necessary to perform services for GPS and are not authorized by GPS to use it for advertising or unrelated independent purposes. Provider handling and retention are also governed by the applicable service terms, account configuration, and contractual commitments. We do not sell QuickBooks data or personal information. We may also disclose information when required by law or necessary to protect rights and security.
Retention and deletion
GPS retains information only as long as reasonably necessary for the Application's business, accounting, audit, security, and legal purposes. When the QuickBooks connection is disconnected, the Application will revoke or stop using its authorization and delete active OAuth tokens and QuickBooks-derived data that is no longer required within 30 days. Information that GPS must retain for accounting, audit, dispute, or legal obligations may be kept for the applicable retention period. Residual copies may remain in protected backups for up to 90 additional days and are not used for ordinary business processing.
Security and access controls
GPS and its service providers use reasonable administrative, technical, and physical safeguards designed to protect information. Access is limited to authorized personnel and service providers with a business need. OAuth credentials and tokens are intended to remain server-side and must not be exposed in browser code, client-side logs, or user-facing content. No system can guarantee absolute security, and suspected incidents should be reported promptly.
Choices and requests
Authorized users may request access, correction, or deletion of information by contacting us. Some records may be retained where required for legitimate accounting, security, contractual, or legal purposes. A GPS QuickBooks administrator may disconnect the Application through QuickBooks Online or the Application's connection controls.
Changes
We may update this Policy to reflect changes in the Application, data practices, or legal requirements. The effective date above identifies the current version.
